Hotel and Minneapolis Convention Center Information

With the exception of the Rosemount HQ tour and three specific Rosemount Education Services courses, all Emerson Exchange daytime events — including registration, Cyber Café, group meals, all sessions and technology exhibits — will take place at the Minneapolis Convention Center (MCC). Special events such as Music Jam, the Networking Event and the Guest Program will be off-site.

HOTEL RESERVATIONS

Upon completion of registration, you will be prompted with a hotel booking link both on the confirmation page of the registration website, as well as in your confirmation email. You may then make your hotel reservation by following that booking link. You must register for the conference before you can book a room (speakers are exempt from this requirement; see note below). Conference registration opens June 1st.

Hotel and travel accommodations are not included in registration fees. If you do not receive a registration confirmation email within one hour of registering, please email the Registration Team. It is important to make your reservation as soon as possible. Reservations are processed on a first received basis.

Speakers: Workshop and Short Course speakers will have access to the reservation link via the Speaker Resource Center. All other speakers will be provided the hotel reservation link via email at the time they are added as a speaker. Speakers will be allowed to make hotel reservations prior to registering.



Attendees are responsible for making their own hotel reservations by booking through the link provided after they register for the conference – Conference Registration and Housing open on 6/1.  Reservations must be made through this channel to receive special Emerson Exchange group rates.  Do not contact the hotels directly.  An acknowledgment of your reservation request will be sent by ConferenceDirect, the Emerson Exchange Housing Bureau, within minutes after submitting your completed reservation online. Keep a copy of the acknowledgment for your records.  If you do not receive an acknowledgment email, then ConferenceDirect did not receive your reservation. You must supply a valid credit card number to guarantee a reservation.  A first night’s deposit may be required by the hotel to hold your reservation.  If you have any additional questions, you can email the housing team at emersonexchange@conferencedirect.com.

You must supply a valid credit card number to guarantee a reservation.  A first night’s deposit may be required by the hotel to hold your reservation. If your hotel requires a deposit of the first night’s room and tax, that will be charged in September prior to your arrival.

Staying at one of the four contracted hotels listed on the Hotel Information page helps to offset our rental costs for the Minneapolis Convention Center.  As such, conference attendees staying at these hotels can take advantage of the “Special Early Bird” reduced conference registration fee.  Local attendees within a 50 mile radius are exempt.
You will not receive an additional reservation confirmation from your hotel.  The housing acknowledgment serves as confirmation of your reservation.  The hotel will not have a record of your reservation until a few days prior to your check in.  If you have questions about your reservation or need to make a change, you may access your reservation online through Friday, September 1st or you may call the housing department  Domestic Toll Free (844) 293-7039 or International (704) 900-0914 or email at emersonexchange@conferencedirect.com.

 

If you do not receive an acknowledgment number, ConferenceDirect did not receive your reservation.

To make a change to an existing reservation, access your reservation online via the link above through Friday, September 1, 2017 by clicking on “Manage Existing Reservation” in the top left-hand corner of the website. You may also call the housing department Domestic Toll Free (844) 293-7039 or International (704) 900-0914 or email at emersonexchange@conferencedirect.com.  Please reference your acknowledgment number.  An early departure penalty may be charged at your hotel’s discretion if your check out date changes after you check in.
You may cancel your reservation by accessing it online via the site link referenced in your registration confirmation and your hotel acknowledgment email through Friday, September 1, 2017. Click on “Manage Existing Reservation” in the white box on the left-hand side of the website. You will need your acknowledgment number to access your reservation. Each cancellation will be issued an email including the date and cancellation number.   Cancellations will result in a $30 non-refundable penalty charged by the housing bureau until Monday, July 31st. Cancellations made after Monday, July 31st will result in a $100 non-refundable cancellation fee.

Before cancelling your reservation, be sure to check your hotel’s cancellation policy and minimum night stay requirements (if applicable).  Cancellation policies vary by hotel but most will charge a one night room and tax cancellation fee if canceled less than 72 hours prior to check in.

Many hotels in the Emerson Exchange room blocks sell out quickly.  You should make your reservation as soon as you know that you are planning to attend and after you have registered for the conference.  The online system allows you to easily make changes to your reservation.  Be mindful of the cancellation policy that takes effect immediately after booking your hotel room.  This fee only applies if you cancel your reservation altogether and does not apply if you shorten your stay.
In order to secure the best rate possible, you should choose another hotel from the list.  Waitlists will not be available at any contracted hotel.
Email Emerson Exchange Housing with your request and you will be sent an agreement form to complete and send back.  Your group of rooms is considered a sub-block and can be booked at either the Minneapolis Marriott City Center or the Hilton Minneapolis.
First book a standard room at your preferred hotel.  Then, forward the acknowledgement and request for a suite to ConferenceDirect for suite rates and availability.
